This policy explains how we collect information, what we do with it and what controls you have over your personal information when using our website, saracens.com and other interactions with Saracens.

About Saracens

Saracens is a professional rugby union club based in North London. We compete in Premiership Rugby and European competitions, providing world-class rugby to supporters across the UK and beyond. We also operate Saracens Sport Foundation, our community outreach programme, and provide facilities and services at our training ground and match venues.

We take our duty to process your personal information very seriously.

Website Usage

When you are browsing our website, we have cookies in place to ensure that the website works well and provide information on how you navigate the site and the pages you visit. You will be given the option to agree to these cookies when you visit the website.

We also have some essential cookies in operation which help the website work well, you can block these but it may affect the website's ability to respond correctly, load pages etc.

When you buy tickets for our matches and events

When you purchase tickets for our matches, hospitality events, or other club events, we collect the information necessary to process your booking and provide you with our services. This includes your contact details, payment information, and any specific requirements you may have (such as accessibility needs or dietary requirements for hospitality events). We may share this information with our ticketing partners (such as Ticketmaster and Tixserve) and venue partners (such as Tottenham Hotspur Stadium for special events) to ensure your tickets are delivered and your match day experience runs smoothly. We'll keep your ticket purchase information for our records and to comply with accounting requirements. When you buy tickets you will be given the option to receive the latest updates, exclusive offers and exciting news from Saracens and our Partners.  

When you become a Seasonal Member or Member

When you become a Seasonal Member or Member, we collect basic information to provide you with our services and support you effectively. This typically includes your contact details, information about your seating preferences, dietary requirements for hospitality, and any other details relevant to the services we provide to you. We'll keep your information for as long as you remain a Seasonal Member or Member, and for a period afterward in line with our legal obligations and legitimate business needs. We may share your information with carefully selected service providers who help us deliver our services to you, but we'll always make sure your personal information is protected.

When you attend Community Camps

When you or your child attend our Community Camps, we collect basic information such as name, contact information, etc to support your attendance. We may also collect additional information necessary for the safe delivery of our programmes. This includes parent or guardian names and contact details, emergency contact information, and medical notes about any conditions, allergies, or medication requirements we need to be aware of.

We collect this information because we have a duty of care to all participants and need to ensure their safety and wellbeing during our activities. Medical information is considered Special Category information under data protection law, and we only collect this where it's necessary.

This information is only accessible to relevant coaching staff and camp administrators who need it to provide safe and appropriate care. We keep this information secure and separate from our general marketing databases. Medical and emergency contact information is retained only for the duration of the camp programme and a brief period afterward for safeguarding purposes, after which it is securely deleted.

If you are under 16, we require consent from your parent or guardian before collecting any personal information, and they will be our main point of contact regarding your data.

When you claim a discount or concession

When you claim any discount or concession (such as a disability discount, or other eligibility-based pricing), we may ask you to provide proof of your eligibility. For disability discounts, any disability verification documents you submit will be used solely to verify your eligibility status. Saracens reserve the right to request continued proof of entitlement at any time.

When you contact us via email or use the website contact form

When you make an enquiry via email or via the website contact form, the information in the email will only be used to respond to your request or question. We try to respond to email queries as promptly as possible but it can take us up to 72 hours to respond to email queries especially at busy times, so please be patient. The website contact form also has a tick box to opt into further communications from us.

Managing Your Communication Preferences

When you sign up with Saracens (for tickets, membership, newsletter, or any other service), you will be given the option of receiving communications about all our services. This ensures you don't miss out on important club news, offers, and events. However, you have full control over what you receive and how you receive it.

We send marketing communications about:

  • Club news and match updates
  • Hospitality, venue and ticket offers
  • Retail promotions and merchandise
  • Offers and information on behalf of our partners (including Premiership Rugby partners)
  • Club competitions and prize draws
  • Community programmes and events.

Managing your preferences: You can easily manage your communication preferences at any time through our preference centre. You can access this by:

  • Clicking the "Manage Preferences" or "Update Preferences" link at the bottom of any marketing email we send you; or
  • Logging into your account on eticketing.co.uk/Saracens; or
  • Calling our Supporter Services team; or
  • Emailing: supporterservices@saracens.net.

In your preference centre, you can:

  • Choose which types of communications you want to receive
  • Update your contact details
  • Opt out of all communications entirely.

Important service communications: Please note that you will continue to receive important service communications about your purchases (such as ticket confirmations, membership renewals, or order updates) even if you opt out of marketing communications, as these are essential for providing our services to you.

We use third party providers to deliver our communications and gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our communications.

When you take part in online research or surveys

Occasionally, we ask for feedback on your interaction with the website, our services or your supporter experience. We will use a secure online platform to gather your responses which may include your name and contact details in case we need to contact you for further information.

When you enter a prize draw

Occasionally, we may run a prize draw for our supporters. We will be clear at the time about the terms and conditions of the draw and will not publicly disclose the name of the winner unless we have their consent to do so.

Links to other websites

In order to be able to provide you additional services such as ticket purchasing through third-party platforms, merchandise sales, and partner club benefits, we may direct you to other websites. Where we have a contract in place for the services, we take steps to ensure that your personal information is secure and only used in the way we prescribe.

We suggest that you review the privacy policies for any third-party websites you visit as we cannot accept any liability for the way they manage your personal information.

The information we need

Saracens is what's known as the 'data controller' of the personal information you provide to us. Your relationship with us determines how much information we collect from you. We will only ever collect the information needed to provide you with services and support.

We will be very clear with you about the reason for collecting information and how we intend to use, share and store that information at the point we collect it.

Collecting your personal information

We collect personal information about you through a variety of different methods including when you:

  • Sign up to our mailing list
  • Purchase season tickets or match tickets
  • Become a club member
  • Purchase merchandise
  • Attend a community camp
  • Fill in the contact form on our website
  • Contact us via email or phone
  • Give us feedback
  • Attend events or hospitality functions.

The type of personal information that we may collect includes, but is not limited to your name, contact details (email address, delivery address, billing address and telephone numbers), payment information (including bank account and payment card details), gender, date of birth, company name (if applicable), parent or guardian name (community camps only), emergency contact name and number (community camps only), medical notes (community camps only).

We may also receive your personal information from other third parties such as:

  • A parent or guardian
  • A family member or someone else acting on your behalf
  • From providers of services working on your behalf
  • Partner clubs or rugby organisations
  • Publicly available sources (such as LinkedIn and company websites) when conducting market research, fundraising, sponsorship and marketing activities to identify appropriate contacts.

Children

The Saracens website is not intended for anyone under 16. If you are under 16 please ensure you obtain your parent/guardian's consent before sending any personal information to Saracens.

Collecting Special Category information about you

Special Category information, which is considered sensitive under data protection legislation includes details that could be used to identify your:

  • Health or medical conditions, including both physical and mental health
  • Racial or ethnic background
  • Religious or philosophical beliefs
  • Political views and opinions
  • Trade union membership
  • Genetic data, like DNA test results
  • Biometric data used to identify you, such as fingerprints or facial recognition
  • Sexual orientation or information about your sex life

For most of our services, we do not collect Special Category information. However, in specific circumstances such as Community Camps or when verifying eligibility for disability discounts, we may collect limited health-related information.

We understand this information is private and we take extra special care with it and we'll only collect this type of information when we really need to and we'll always tell you why we need it first. We use additional security measures to keep this sensitive information safe and protected, and it is kept separate from our general databases and deleted when no longer required.

Where is your information stored?

Wherever possible, all the personal information we have is processed within the UK or European Economic Area (EEA). Some of our third-party service providers, for example ticketing platforms and merchandise suppliers, are based outside the UK or EEA so their processing of your personal information will involve a transfer outside the UK or EEA.

Whenever we transfer your personal information outside of the UK or EEA, we do our best to make sure a similar degree of security of personal information by ensuring at least one of the following safeguards is implemented:

  • We will only transfer your personal information to countries that have been deemed to provide an adequate level of protection for personal information by the European Commission or the Information Commissioner’s Office; or
  • Where we use certain service providers, we may use specific contracts or codes of conduct or certification mechanisms approved by the European Commission or the Information Commissioner’s Office which give personal information the same protection it has in the UK.

Sharing your information

Other than in the following circumstances, we do not share your information with any other organisations or individuals unless we are obliged to by law, for purposes of national security, taxation or criminal investigations:

  • If you have agreed that we may do so
  • Across the Saracens group to provide relevant services.
  • If we need to share your information with trusted third-party service providers who assist us in delivering our services to you (such as Ticketmaster and Tixserve for ticketing services, payment processors, merchandise suppliers, or professional advisors). These providers are carefully selected and are contractually required to keep your information secure and use it only for the specific purposes we've agreed with them.
  • With advertisers and advertising networks that require data to select and serve relevant adverts to you and others. We do not disclose information about identifiable individuals to our advertisers, but we will provide them with aggregate information about our users. We may also use such aggregate information to help advertisers reach the kind of audience they want to target.
  • With other companies and organisations for the purposes of fraud protection and credit risk reduction.
  • A parent or guardian if you are a minor.
  • If we sell the business or any part of it -- the new owner may obtain supporter and customer information. This information would only be used for the same purposes for which it was originally obtained. If Saracens Limited or substantially all of its assets are acquired by a third party, personal data held about customers and supporters will be one of the transferred assets, but will remain subject to this privacy policy or an equivalent standard of protection.
  • If we run an event in partnership with other named organisations, your details may need to be shared. We will be very clear what will happen to your personal information when you register.

We will never sell or rent your personal information to other organisations.

We also share personal information with Premiership Rugby, the RFU, Tottenham Hotspur Stadium (for purchases related to events at Tottenham Hotspur Stadium), and third-party service providers who assist us with insight analytics as part of our operational and competitive requirements.

We may share specific datasets with our paid media agencies to create custom lists for relevant advertising campaigns. This allows us to share with you more relevant information based on your previous relationship with the club. When we do this, we ensure our media agencies are contractually bound to use this information only for the specific advertising purposes we've agreed, to keep your information secure, and to delete it when the campaign is complete. You can opt out of this type of targeted communication by contacting us at supporterservices@saracens.net.

Social Media Adverts (Sponsored Posts)

Occasionally we run adverts on various social media platforms to promote our services. Social media platforms collect various types of information on their users, including demographic information, location, interests, and behaviours. When we set up an advertising campaign, the platforms use this data to target our ads to relevant audiences based on the criteria we specify.

Our adverts allow us to find out more about the actions of users after they are redirected to our website. It also allows us to measure the efficiency of our adverts for statistical and market research purposes. Using this information allows us to improve our advertising for a better experience for you and provide you with further advertising on social media platforms and the use of Custom Audiences. You can find out more about this at each social media platform and change your settings to withdraw consent.

We may use your email address and information about your previous interactions with us for targeted advertising in two ways:

  • Direct targeting: showing you specific adverts based on your relationship with us
  • Lookalike audiences: providing your email address to social media platforms so they can find similar individuals to show our adverts to.

Retaining your information

We hold your information only as long as necessary for each reason that we use it. For example, your email address on our supporter list will be held whilst you are a subscriber. If you purchase tickets or merchandise, we will retain that information for up to seven years for accounting purposes. During the retention period we ensure the security and integrity of the information.

Securing your information

We have put in place security measures to prevent your personal information from being accidentally lost, used, altered, disclosed, or accessed without authorisation. We ensure that only those employees and partners, who need access to your personal information as part of their business role, are given access. They will only process your personal information on our instructions and our contracts ensure that the information is kept confidential.

We have procedures in place to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach if we need to.

What are your rights?

You have a number of rights about how the personal information you provide can be used. These are:

  • Transparency over how we use your personal information (right to be informed).
  • The ability to request a copy of the information we hold about you, which will be provided to you, usually within one month of your request (right of access).
  • Update or amend the information we hold about you if it is wrong (right of rectification).
  • Ask us to stop using your information (right to restrict processing).
  • Ask us to remove your personal information from our records (right to be 'forgotten').
  • Object to the processing of your information for marketing purposes (right to object).
  • Obtain and reuse your personal information for your own purposes (right to data portability).
  • Not be subject to a decision when it is based on automated processing (automated decision making and profiling).
